Full-Service Real Estate Company with 11M sq ft of Class A Commercial Real Estate Property – Operations Manual

The Challenge
A full-service, real estate company with 11 million square feet of office space was planning to double in size and did not have a standardized Operations manual to help property management teams understand the standard set of management policies, systems and procedures governing the operation of their commercial real estate properties.

The Client asked Teel StratVisor Group (StratVisor) to develop a standardized Operations Manual that addressed tasks such as budgeting, safety, IT applications, corporate communications, etc.

What We Did
Prior to the start of the project, Teel StratVisor Group completed an Operational Excellence Strategy for the Client. This Strategy was the company’s guide to develop a “Culture of Excellence.” Based upon feedback from the Operational Excellence Strategy, a Standardized Operations Manual was identified as a top priority.

The StratVisor team began the project by meeting with the VP of Property Management to develop a comprehensive table of contents and “wish list” of topics to be addressed in the manual. The team then reached out to resources in the Operations, Accounting, Property Management and Information Technology departments to assist in content development. The purpose of the manual was to help the client define a standard set of information and policies that would assist in the management transition of new acquisitions.

The Operations Manual included the following areas:

  • Corporate Contact Information
  • Accounting
    • Budgeting
    • A/R Collections
    • Accounting Calendar
    • Purchase Orders
    • Contracts
    • Contractors and Bidding
  • IT Requirements
  • Safety
  • Preventive Maintenance
  • Standardized Company Forms
  • Vendor Management

The manual was developed and presented to the Client in phases. Revisions were completed based on the Client’s feedback.  Once the final manual was approved, StratVisor published 25 copies of the manual for the Client. The team then developed a process for revising and updating the manual, and provided detailed instructions to the Client to enable them to update and publish future copies themselves.

The Result
As a result of working with Teel StratVisor Group, the Client received the following:

  • Operations Manual
  • Operations Manual Template that included a disk with all source files and detailed instructions for publishing of additional copies of the manual.
  • 25 copies of the Operations Manual
